GENERAL FUNCTION
The Senior Program Associate provides general support to the Africa, Health and Humanitarian Media Program Management Unit (PMU) under the supervision of the Vice President of the PMU. This includes support for proposal writing and development, administrative, accounting, clerical and technical support. The SPA also provides critical back-up for representational requests, donor reporting and project deliverables as needed by the VP of the AHH PMU.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Writing and Strategic Development-
• Assists in the preparation of proposals/reports/budgets; line-edit, revise and assemble finished materials
• Attends meetings, roundtables, and other events on behalf of the AHH PMU when needed; represents Internews at events when needed
• Works closely with regional manager to proof and edit donor reports, and maintains calendar of due dates
• Writes monthly program updates and newsletters
• Assists with project assessments, surveys, conferences and other project deliverables as needed
• Drafts and/or edits web stories
Administration and Logistics-
• Organizes tasks to support program development objectives
• Manages administrative tasks in accordance with project timelines
• Coordinates travel logistics, including visa requirements, travel, and accommodations for staff and visitors.
• Schedules and assists with logistics for meetings and events
• Produces expense reports and submits vouchers
• Maintains files and records for department
• Prepares wire transfer requests, check requests, and/or other payment documents.
• Assists PMU and field staff with the procurement of supplies, services, and equipment
Other-
• Provides support to the humanitarian unit as needed, usually on a critical deadline basis
• Translates documents from French-English-French as needed
• Any other duties as assigned
QUALIFICATIONS
Required
• 3-5 years office administration experience
• Excellent writing skills
• Strong working knowledge of French preferred
• Excellent organizational skills and attention to detail
• Knowledge or experience in the Africa region
• Intermediate-level Microsoft Office skills particularly with MS Excel, Word
• Ability to adapt to changing project and department needs and priorities
• Ability to “manage-up” to maintain project timelines
• Ability to prioritize and handle multiple on-going assignments
• Self-sufficient and able to highly function with minimal supervision
• Excellent written, telephone, and interpersonal communication skills
• Experience with internet research
• Ability to meet tight deadlines
Preferred
• Knowledge or experience with health and/or humanitarian projects
• Experience with event planning and/or arranging logistics for project implementation abroad
• Experience preparing expense reports and budgets
