SCOPE OF WORK:
The Finance Coordinator is a member of the Administration team and is responsible for essential accounting functions related to accounts payable and accounts receivable, month end closing assistance, and file maintenance. The Finance Coordinator offers support to other team members as needed. This is a full-time, non-exempt position, reporting directly to the Finance Manager.
ESSENTIAL JOB FUNCTIONS:
- Review and process all check requests using SUN system software in a timely manner
- Prepare vouchers for payment to vendors.
- Maintain and update vendor contact list.
- Reconcile bank statement on a monthly basis.
- Assist in the month end closing process.
- Assist in preparation and facilitation of internal and external audits.
- Maintain finance files and ensure that vouchers are properly copied to client files when necessary
- Prepare MARTA summary report each month.
- Serve as back-up receptionist when needed.
- Maintain a complete and up-to-date list of all IRC Regional Office inventory including item specifics (e.g. date of purchase, user of item, serial number, purchase price)
- Manage account files, including lease agreements for all equipment rentals (e.g. copy machine, postage machine, etc) and serve as the focal person for maintenance of office equipment.
- Maintain files of at least three bids for all items procured that are valued at $1,000 or more; or when annual purchases from a specific vendor are expected to exceed $1,000
- Lead or participate in other projects and assignments as needed.
REQUIREMENTS:
- Bachelors Degree and experience with accounting and bookkeeping procedures; previous non-profit agency experience preferred.
- Solid computer-based accounting skills, including spreadsheets and various other financial related software programs;
- Proficient in general office software programs like MS Word, Excel, Email, and Internet;
- Proven ability to work as a team member in a cross-cultural environment;
- Excellent communication and follow up skills- both verbal and written
- Ability to effectively work with HQ through telephone, email and other correspondence.
- Able to read and analyze Profit and Loss, Balance Sheet Statements
- Well organized; high attention to detail.
- Self direction and initiative to take the lead on projects when needed, and to follow through to completion.
- Ability to prioritize and to juggle multiple tasks simultaneously in afast paced enviroment
