renew Christian congregations and communities Alleviate human suffering Seek justice, freedom, and peace Description The General Board of Global Ministries (GBGM), the global mission agency of the United Methodist Church (UMC), is seeking an Executive Assistant who will be working directly with the Deputy General Secretary who heads up the Mission and Evangelism Unit of the General Board of Global Ministries. The person in this position will assist the Deputy General Secretary with administrative and secretarial duties of a highly responsible nature, operating with a great deal of latitude for independent judgment. She/he requires extreme tact and integrity due to frequency of high level internal and external contacts and exposure to confidential data. She/he must have a thorough knowledge of the Board, its policies and procedures, and its structure – both in staffing and in its governing body. Though Methodist-affiliation is not required, qualified candidates must possess the ability to analyze and evaluate the context in which the Church is called to Christian ministry, develop and sustain collegial relationships and mission partnerships; and develop action plans for advocacy for global justice, peace, and freedom. The candidate should have some experience working in a Global, intercultural, and interfaith context. Essential Job Functions • Plan and carry out assigned administrative functions for the Deputy General Secretary or as assigned requiring considerable knowledge of the Board and executive method of operation
 • Take dictation of letters and documents and transcribe including proofreading and editing all correspondence issued under Deputy General Secretary; write selected correspondence and/or reports as assigned
• Compose correspondence and send various forms of correspondence in accordance with good administrative and secretarial procedures and practices
• Establish, maintain, and revise supervisor’s files and records, including maintaining ongoing reports, coordinate Mission and Evangelism logistical data upkeep with logistical coordinators
 • Open and sort mail as directed for supervisor, performing necessary preliminary collection of additional files or information before referring to other offices or supervisor
• Answer and screen telephone calls and handle appropriately, including referring to other persons/or supervisor, takes messages, or other appropriate follow up Major Accountabilities
• This position exists to provide assistance to the Deputy General Secretary or other executive staff as assigned
 • Record minutes for meetings as assigned; keep supervisor’s calendar and perform other administrative details on behalf of supervisor. Responsible for coordination of work of Logistical Coordinators
• Greet guests, make inquiries, answer questions, and refer them to appropriate persons. Communicate administrative instructions or desires to various individuals and/or departments
• Furnish and obtain information from other executives or outside representatives. Organize and expedite flow of work, including the initiation of follow up actions Experience
 • At least 3 years’ experience providing support at the executive level or related experience
• Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
• Knowledge of standard office administrative practices and procedures
 • Experience working in an international or multicultural environment a plus
• Supervisory experience is desired
