Position Summary
Futures Group is recruiting a Program Operations Associate based in our Washington DC office to provide administrative and operational assistance in the implementation of project activities. The successful applicant will gain broad exposure to the design, operations, and implementation of programs in developing countries. Primary responsibility will be to assist with procurement and contract processes of assigned portfolio.

- Backstop and provide general program operations assistance to Project Operations Manager, technical staff and field administrators
- Support field offices through provision of guidance, training, e-mail and phone calls
- Being clear and concise with a focus on providing excellent service
- Maintain project-wide communication channels and interface with project staff according to the Team’s needs
- Maintain project specific calendars to ensure proper reporting compliance
- Assist in drafting, developing and processing of contractual instruments: Fixed Term Agreements, project consultant agreements, subcontracts, letter agreements, purchase orders, grants, etc.
- Review and process travel related documentation including travel vouchers, expense reports, small invoices etc.
- Initial review of field expense vouchers and tracking of financial transactions and payments to ensure prompt payment of invoices
- Provide assistance in database management, archives, filing, and dissemination for project resource collection
- Maintain and update program operations and project specific database and intranet sites for assigned region and activities as needed
- Organize meetings and take minutes and actions as needed.
- Proactive issue management and problem-solving to ensure compliance client regulations and head contracts
- Actively share project or country lessons-learned and best-practices with the operations and management teams on a corporate level
- Other duties as assigned
- BA in International Affairs, Business Administration, Public Health, or a related field.
- Entry-level and up to 2 years of professional
- Experience with USAID program operations or contracts experience is preferred.
- Strong administrative and organizational skills with high capacity for attention to detail required
- Financial management skills and knowledge of accounting is highly desirable
- Experience working and/or living in developing countries is desirable
- Ability to work in a team and communicate effectively with diverse cultural and professional staff members
- Ability to multi-task and keep track of concurrent deadlines
- Aims to beat expectations – excellent skills in managing assigned workload, multi-tasking, and meeting deadlines
- Proficiency in a second language, preferably, Spanish, Portuguese, or French is preferred.
- Knowledge and experience with Sharepoint
